Make a Difference Within Our Community

Currently, the Mississaugas of Scugog Island First Nation (MSIFN) is looking for an experienced Administrative Assistant Administration Building to join our Human Resources Team in Scugog, ON on a full-time basis. The hours of this role are Monday to Thursday, 8:30 am to 4:30 pm, and Friday 8.30 am to 1:00 pm.  The Administrative Assistant to Human Resources Department is required to be onsite Monday to Friday. 

The Administrative Assistant to the Administration Building (AAAB) provides comprehensive administrative and clerical support to ensure efficient operations of the MSIFN Administration Building. This role will support with day-to-day administrative functions across department within the Administration Building, maintaining organized records, managing correspondence and documentation with accuracy and discretion. The AAAB will maintain a courteous and approachable attitude, exercising sound judgement, and upholding the highest standard of integrity and confidentiality when engaging with community, colleagues and external stakeholders. 

KEY ACTIVITIES:

 DUTIES

  • Greet visitors, determine the nature of their visit, and direct them to the appropriate individual or department
  • Answer and direct phone calls, take messages and respond to general inquiries.
  • Prepare, input, edit and proofread correspondence, invoices, and purchase orders
  • Open, sort and distribute incoming mail, both physical and electronic, and coordinate the flow of documents internally and externally
  • Schedule and confirm appointments, meetings, conference calls, training sessions and other gatherings; Coordinate logistics such as refreshments, lunches and post-meeting clean-up as required; Prepare related materials including agendas and meetings where required
  • Develop and implement office procedures for the Administration reception area, and provide general clerical and administrative support including photocopying, faxing, proofreading, ordering supplies and coordinating travel arrangements as request by Administration Departments
  • Establish and maintain both manual and electronic filing systems to ensure accurate organization, accessibility and security of information
  • Assist with the collection of data and information to support research activities and the preparation of summary materials, as needed
  • Coordinate special events and activities (Annual Staff and Children's Christmas Party, Annual Staff Golf Tournament, etc.)  

MINIMUM QUALIFICATIONS

  • One-Year Certificate from Public/Private College or Tech School Office Administration or related field
  • 3 years work related experience, 5 years total experience or equivalent training and experience as determined by the hiring committee

SPECIALIZATIOS REQUIRED              

  • Valid driver’s license and $1M liability insurance
  • CPIC acceptable to position upon conditional offer
  • Knowledge and understanding of Indigenous culture, traditions, teachings, community dynamics
  • Demonstrated ability to quickly learn and adapt to new technologies for data entry, calendar management, and report creation
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfortable with office equipment and digital filing systems
  • Capable of meeting deadlines and ability to manage multiple tasks, prioritize effectively and maintain attention to detail
  • Strong verbal and written communication skills, ability to interact professionally with staff, leadership and the public
  • Collaborative mindset with the ability to work well in a team environment and build positive working relationships; Ability to take direction from multiple people including peers
  • Ability to handle sensitive information with integrity and maintain confidentiality at all times
  • Resourceful and able to address routine issues independently or escalate appropriately
